Members and Invitations

Adding someone to a shared workspace is a two-step handshake: an owner or admin creates an invitation and shares its link, and the recipient accepts it. From that moment they're a member, with the role they were invited as.

Sending an invitation

On the web, the owner or any admin opens Workspace settings, enters the person's email address, chooses a role, and creates the invitation. WriteinaClick doesn't email the invitation. The admin copies the invitation link and sends it to the person themselves, by email or any message app. Invitations can't be sent from the mobile app.

An invitation link works for 14 days. An admin can resend it, which makes a fresh link and stops the old one working, or revoke it.

Accepting an invitation

When someone sends you an invitation link:

  1. Open the link in a web browser.
  2. If you aren't signed in, click Sign in to accept. After you sign in, you're brought back to the invitation.
  3. Click Accept & join as followed by your role (for example, Accept & join as Editor), or Not now to decide later.

If you're signed in with a different email address than the one the invitation was sent to, the page warns you first, because accepting adds the account you're signed in with.

Once you accept, the workspace appears in your workspace switcher. You can leave it any time from the workspace settings on the web.

Leaving a workspace

Members can leave a shared workspace from the workspace settings. The owner cannot leave. They have to transfer ownership first.

Leaving never deletes anything in the workspace. It just removes your access and, unless you were a viewer, frees your seat.

Removing a member

Owners and admins can remove a member from the workspace settings. Removed members lose access immediately, including any books they had open. Their authored work stays in the workspace.

Transferring ownership

The owner can transfer ownership to any other active member, in the workspace settings on the web. After the transfer:

  • The workspace keeps its plan. Nothing about billing moves to a person.
  • The previous owner becomes an admin (so they keep their working access).
  • There is always exactly one owner per workspace.

Inviting someone without giving them a seat

If you only need someone to read, comment on, or suggest wording for a single book, for example a beta reader or your editor, consider a guest reviewer link instead. Guests don't take up seats.
